Sharing with clients

A share link is the only way anyone outside your agency opens a report. Links point at an artifact, not a file: they always show its currently published version.

Only owners, admins and publishers with Approve access on the artifact’s client can create or revoke links. AI tools never can.

  1. Publish the artifact. Links only work while it’s published.
  2. Choose Share on the artifact’s page (or Publish and send while publishing).
  3. Pick recipients:
    • Contacts of the artifact’s client, and/or
    • Email addresses you type in (up to 20). On an artifact filed under a client, a typed email that isn’t a contact yet is added to that client’s contacts. The client’s shared mailbox stays a one-off recipient.
    • Nobody — you get one anonymous link to copy and send yourself.
  4. Optionally set link options and a message (up to 1,000 characters) for the email.
  5. Send. Each recipient gets their own link by email, so views and revocation are tracked per person.
Option Effect
Label A name for the link, for your team.
Password At least 6 characters. Asked for on every open; never remembered.
Expires A date after which the link stops working.
View limit The link stops working after this many views.
Allow download On by default. Turn off to hide the download option.

The artifact’s page lists its links, and Shares lists every link in the agency. From there you can see views, email a link again, or revoke it.

  • Revoke permanently and immediately stops a link from working. It can’t be undone; create a new link instead.
  • Unpublish pauses every link of an artifact until you publish again.
  • Moving an artifact to another client doesn’t move its existing links.

You’ll get inbox items when a link is first opened and when one is about to expire.

Recipients open a clean, branded page with your agency’s name and logo, the report’s title and reporting period, and the published version.

  • No account or sign-in is needed. The unguessable token in the URL is the credential.
  • HTML and Markdown reports render in a sandboxed frame; PDFs open in an in-page viewer.
  • Contacts whose access allows commenting can comment, reply and approve or request changes. See Comments & feedback.
  • They see only comments addressed to their client — never your team’s internal notes.

When a link is revoked, expired, out of views or the artifact is unpublished, recipients see the same no longer available message. Only your team sees which it was.

What happens to links also depends on the client’s status: a paused client keeps its links working but gets no new ones, and an ended client’s links are either kept read-only or revoked, as you choose.
