Review & publishing

Publishing is always a person’s decision. AI connections can submit versions for review; only owners, admins and publishers — with Approve access on the artifact’s client — can publish.

  1. Submit. Anyone who can push versions (in the app, or an AI tool with submit_for_review) submits one version of a draft artifact. It moves to In review, and everyone who may publish it gets a Review requested item in their inbox.

  2. Review. A publisher opens the artifact and previews the submitted version.

  3. Decide.

    • Approve — the submitted version is published and the artifact becomes Published.
    • Return — the artifact goes back to Draft with a note for the author. The note shows in the app and in get_publish_status.

The submitter is told either way.

Only drafts can be submitted, so a live artifact never pauses its links while a new version waits for review.

Publishers don’t have to go through review. From an artifact’s page they can publish any finalized version directly, or publish and send it to client contacts in one step.

Publishing a newer version is how you update a report: every live share link shows the new version immediately. Contacts whose access asks for email updates are sent their link when something they can open is published.

Unpublishing takes an artifact out of circulation without revoking its links. Every link shows no longer available until you publish again. Revoking a link is a separate, permanent action — see Sharing.
